Lead the Discussion: Flexible Work Arrangements 

This Flexible Work Arrangement Manager Facilitator Guide is intended to assist managers in leading a discussion within their workgroup(s) relating to Flexible Work Arrangement planning.

The guide is intended as a starting point, recognizing that the needs of each team or group will be slightly different. Departments and Faculties are welcome to approach this discussion in the manner that best suits them and their work culture and norms.

Leaders are encouraged to involve employees at all levels in this discussion.

How to Set-up Flexible Work Arrangements For Employees You Manage/Supervise

If members of the team you supervise are interested in pursuing a flexible work arrangement, follow these steps:

  1. Familiarize yourself with the flexible work guidelines.

  2. Have a conversation with your employee to review the guidelines as well as which days they would like to work remotely and barriers that may prevent them from performing your duties effectively.

  3. Decide if a remote work arrangement is suitable. Once you have discussed options with your employee and come to an understanding, have them complete a Flexible Work Arrangement Request Form and a  Safety Inspection Checklist These steps ensure the University is meeting all obligations under WorkSafeBC, and that both you and your employee are considering all aspects related to a remote work arrangement. 

    The guidance form, Considerations in Evaluating Flexible Work Arrangements, has been developed to support managers as they review new or existing flexible work arrangements

  4. Establish consistency and expectation through the use of a Flexible Work Arrangement Team Charter.

  5. Document the outcome of your decision of your employee's flexible work request on the  Flexible Work Arrangement Agreement form.
